Frequently asked questions

Answers to the most common questions about this template.

What is a shift incident report for?

It keeps a record of everything that happened during a service or shift: breakdowns, guest complaints, breakages, pending tasks, stock problems, till issues, cleaning, maintenance or internal communication. In hospitality it means the next shift does not start blind and management can follow things up without relying on stray messages.

What should each incident record include?

Note the date, shift, time, area, department, incident type, description, priority, impact, owner, corrective action, target date, status and closing date. The template includes these fields so every incident has enough context and nothing gets lost at the shift change.

Does it work for hotels too?

Yes. Hotels can use it for front desk, housekeeping, maintenance, restaurant, bar, events and room service. It is especially useful for morning, afternoon and night handovers, where a breakdown or complaint can affect several departments before it is resolved.

How does it help day-to-day operations?

It lets you prioritise problems, assign owners and see which incidents keep coming back. If a fridge fails three times, a complaint appears every weekend or a closing task is often left undone, the history lets you act on data instead of only firefighting the day's emergencies.

How often should I review the incident log?

The shift manager should review it at the start and end of service. It is also worth a weekly review to spot open incidents, delays, recurring patterns and outstanding corrective actions. In businesses with several venues, keeping this log in software saves duplicating sheets and makes it easier to follow up by site.
