Is a working hours record compulsory in hospitality?

Yes. In Spain, a daily record of working hours (the registro de jornada, required since Royal Decree-law 8/2019) is mandatory for every business, including restaurants, bars, cafés and hotels. It must show the exact start and finish time of each employee's working day, be kept for four years and be available to employees, their legal representatives and the Labour Inspectorate.

What does a valid time record need to include?

At a minimum: date, employee, start time, finish time and hours worked. In hospitality it is worth adding breaks, shift, workplace, incidents, overtime, the employee's signature and the manager's sign-off. The template includes these fields so the record is practical and easy to review.

How does the template handle split shifts?

The template lets you record two blocks of work on the same day, for example lunch and dinner. You can log the start and finish of the first block, the break between services and the start and finish of the second block, then calculate the total hours worked without mixing the planned rota with the hours actually worked.

Can I use it to track overtime and rest breaks?

Yes. It includes columns for planned hours, actual hours, the difference, overtime and incidents. That helps you spot excessive hours, insufficient rest, undocumented shift swaps and build-ups that could turn into employment claims if they are not caught in time.

Does this template replace a digital time-tracking system?

No. The template is a basic way to keep your time records in order while you still work with Excel or paper. A digital system cuts errors, prevents tampering, keeps the evidence in one place and makes it easy to look things up by employee, site or period. Even so, this template is a good first step away from loose notes.
