What costs should a catering quote include?

A complete quote should include: 1) food cost (the menu), 2) kitchen and front-of-house staff, 3) transport and logistics, 4) equipment hire (tableware, furniture, marquee), 5) decoration and flowers where relevant, 6) drinks and open bar, 7) extras (DJ, photography, event coordination). The template has a section for each line.

How do I work out the price per person?

The template works it out for you: it adds up every cost, divides by the number of guests and applies the profit margin you set (usually between 25% and 40%). It also shows the cost breakdown per person, so you can see where every euro goes.

What profit margin should I aim for in catering?

Typical gross margins in catering range from 30% to 45%, depending on the type of event and the competition. Weddings and premium events allow higher margins (40-50%), while corporate and contract catering usually works on 25-35%. The template lets you set the margin for each event.

Can I produce a quote I can send to the client?

Yes. The template includes a professional quote sheet with your company logo, a breakdown by item (without showing your internal costs), terms and conditions, payment terms and space for a signature. You can export it to PDF straight from Excel.

How do I handle different menu options?
