Frequently asked questions

Answers to the most common questions about this template.

What is a supplier order template for in hospitality?

It standardises how you place orders and avoids the usual mistakes: quantities written down wrong, confusing pack sizes, urgent deliveries nobody recorded or products left off. In restaurants, a simple template improves communication with suppliers and gives you a basic record of what was ordered, when and on what terms.

What should a restaurant supplier order include?

At the very least: order date, supplier, product, pack size or unit, quantity ordered, unit price if you know it, required delivery date and notes. If you buy fresh produce, it also helps to add the delivery time slot and any issues or approved substitutions.

Does this template work for bars, cafés or hotels too?

Yes. Although it is designed for restaurants, it works very well in cafés, bars, hotels and small groups with recurring purchases. The layout is flexible, so you can use the same base for daily kitchen orders and for restocking drinks, breakfasts or F&B amenities.

Should I record prices in the template as well?

Yes, whenever you can. Adding the unit price helps you spot price rises, compare suppliers and review variances in purchase cost. It does not replace a full purchasing system, but it gives you a basic layer of control that many small businesses lack when they order by phone or WhatsApp.

How is this template different from purchasing software?

The template solves the basic problem of organising and documenting orders. Software like Zindra goes further: it keeps all your suppliers in one place, tracks price history, links purchases to inventory, delivery notes and cost control, and cuts out manual work. The template is a good starting point if you have not yet digitised the process.

Tired of updating templates by hand?
